The Sales and Events Coordinator, reporting directly to the General Manager, is responsible for providing administrative support for the sales and catering department, answering client inquiries, and offering general support to the Director of Sales in day-to-day operations of the sales and catering functions. Duties will include filing, answering client inquiry calls, generating emails, conducting sales calls, creating appropriate collateral, detailing of contracts and BEOs, account maintenance and management. Some evenings and weekend hours, as well as occasional local travel, may be required to assist with client management, site visits and trade shows. 


Basic function:


Actively participate in sales activities.  Primary sales focus will be on increasing meeting room and catering revenue.  Assist Sales Department in day to day functions and reports to the General Manager to ensure communication between other departments is clear and effective.  Will assist the Sales Team making sure all contracts are sent to clients in a timely manner and that contracts, rooming lists, and resumes are received and distributed correctly.  

List of duties:


  • Answer sales calls when a Sales Manager is not present and pass along information in a timely manner
  • Pro actively sell the meeting rooms for both hotels by:         
    • Following up on leads
    • Contacting 10-15 new businesses per week
    • Going on a joint sales call with a sales manager each week and asking for meeting room business
  • Properly communicate catering needs to catering companies
  • Booking meeting room space and communicating information in a timely manner to each department
  • Creating and returning contracts within 24 hours of receiving information
  • Following up on rooming lists for groups
  • Updating Epic when needed and at least once a quarter
  • Filling out and distributing group resumes
  • Communicate group and sales needs to Front Desk
  • Attend Front Desk Meetings as a representative of Sales
  • Conduct site tours and meet with on the client and face to face
  • Enter all sales contacts and opportunities into Telenotes (Account Tracking Software)

  • Self motivated
  • Outstanding customer service skills
  • Must answer phones professionally
  • Must have a knowledge of sales and hotel operations
  • Must be able to maintain client information and client relationships
  • Must communicate clearly to clients and fellow associates
